How do I improve or update my AI Receptionist's call flow detail prompts?

If your AI receptionist is not capturing complete details, such as full names, phone numbers, or addresses, you can improve accuracy by updating the prompts in your call flow. This is called prompt tuning.

Prompt tuning helps make your questions clearer and more specific, so callers know exactly what information to provide.

When to use prompt tuning

You may want to update your prompts if:

  • The AI is receiving incomplete names (e.g., first name only)

  • Phone numbers are missing digits

  • Addresses are incomplete

  • Callers seem confused by a question

How to update your call flow detail prompts

Step 1: Open the Joist app

Step 2: Select the AI Receptionist. You will find the AI Receptionist tab on:

  • Web: the left-side menu bar, then click AI Receptionist, and click Go To Your Assistant

  • iOS: click More in the bottom right corner of your page, and then click AI Receptionist from the list

  • Android: click Manage in the bottom right corner of your page, and then click AI Receptionist from the list

Step 3: From the main screen, click Visit this Page on the Make Changes tab

Step 4: Select Test AI Receptionist

Step 5: Use the navigation at the bottom of the page and click Next (twice) until you get to the call flow prompt page titled “Here’s the information AI Receptionist will collect from customer calls”

Step 6: From the list of detail prompts, click on the one you want to edit and make your changes

Step 7: Save your changes

Prompt tuning examples

Making small adjustments to your prompts can significantly improve the quality of responses.

Names

  • Current: Full Name

  • Improved: First and last name

Phone number

  • Current: Callback number

  • Improved: 10-digit callback number

Address

  • Current: Full address

  • Improved: Full address including street, city, state, and ZIP/postal code

Appointments

  • Current: When would you like to schedule an appointment?

  • Improved: What day and time do you prefer for an appointment?

Best practices for prompt tuning

  • Be specific about the information you need

  • Break down complex requests into clear instructions

  • Use simple, direct language

  • Avoid vague terms like “full” without clarification

  • Test your prompts to ensure callers respond as expected

If issues persist, continue refining your prompts based on real call behavior.


Frequently Asked Questions


Can the AI Receptionist understand call flow information that is written in languages other than English?


No. The AI Receptionist currently understands and processes call flow prompts written in English only.

If call flow prompts are written in another language, the AI Receptionist cannot interpret the information correctly and therefore will not be able to understand what details it needs to collect from your callers. If you have existing content in another language, we recommend translating it into English before adding it to your call flow prompt base used by the AI Receptionist.


Can my callers speak with the AI Receptionist in languages other than English?


No. The AI Receptionist currently understands and responds in English only. If a caller speaks in a language other than English, the AI Receptionist will not be able to hold a conversation with your caller.
